Archive satisfies your obligation to retain documents for 7 years

Archiving your consignment notes is time-consuming and challenging.
Unless you use PrintCMR Archive.
This module makes it much easier to store your documents for a prolonged period. You can still access your current documents in PrintCMR as rapidly as ever because delays in your daily work are not acceptable.

Archiving old documents requires you to do no more than allocate a status. As standard, archived documents are excluded from all searches in PrintCMR. Unless you indicate that you also want to include the archive in your search.
Because you sometimes have to refer to an old document quickly as disputes about the services that have been provided can drag on.
You include the archive by simply pressing a button, meaning that your old documents can still be quickly retrieved and referenced.

Furthermore, PrintCMR's powerful database can easily handle millions of documents, so you have nothing to worry about in that respect.

PrintCMR mail, the extra functionality

The Archive module offers additional convenience in environments where drivers and planners communicate extensively with each other.

- You simply designate a separate computer where PrintCMR automatically refreshes your mailbox every few minutes and processes the newly arrived documents.
After your driver sends a PrintCMR mail message, the updated document appears automatically on your screen in the office within 5 minutes.

- Processing status: Newly arrived documents are easily recognisable. The procedure supports assigning different characteristics to a document, right up to the time when a document has been fully updated and can be transferred to the archive.

- Photo reports can be built up behind each document (consignment note) to complete your file relating to service provision.
Your driver is encouraged to quickly send the last items of information back to the office. You are able to complete the set of data available to you in the office faster than ever before so that you can generate an invoice.

Old addresses are simply disabled to save you the fuss of having to remove them.
This keeps your archive accurate even though old addresses are also relayed on to your drivers. However, they are prevented from using an outdated address.

- Instructions for your loading and unloading addresses are sent as additional information via PrintCMR mail.
These instructions can be referenced immediately.

- If your driver records signatures using an iPhone or iPad, they are also sent back to the office via email.
The document can be reproduced in the office to allow immediate processing for invoicing.

- We have not forgotten the traditional process using paper documents.
PrintCMR can be used in the vehicle to print consignment notes.
After registering signatures and comments, a photograph can be taken using an iPhone or iPad, which is subsequently stored in the Photo Report.
This is then sent to the office with the consignment note to complete the file.
A uniform storage method is used for easy traceability. This applies to the archive as well, to make life easier if questions are asked subsequently.

And your driver? He does not have to be connected online all the time. The link to the office takes place completely via email.
